Tribunals Clerk, Tribunals Unit

Regular Position, Category 12 – Salary Range $55,233 – $70,900
Two positions available

This position supports various aspects of the Ontario College of Teacher’s Tribunals processes. Working directly with members of the Discipline and Fitness to Practise Committees, who conduct more than 100 hearings annually, your responsibilities may include: providing administrative assistance before, during and after hearings or pre-hearings; clerking hearings; decision writing in uncontested matters; preparing for and taking minutes at meetings and training sessions of the Discipline and Fitness to Practise Committees; and, other administrative functions to ensure the successful operations of a fast-paced Tribunals Office. Excellent knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint, is required. Demonstrable experience supporting the work of Committees and/or tribunals in a professional regulatory environment is also an asset. Bilingualism is an asset for this position.

Responsibilities:

  • Support pre-hearing conferences through distributing conference memoranda, preparing presiding officer materials, preparing and posting agendas, maintaining attendance reports, formatting and assisting with the drafting of presiding officer reports, and entering documents and tracking actions from pre-hearing conferences.
  • Create new hearing files, ensuring completeness and suitability of file components and distributing to College legal counsel. Open electronic and hard copy hearing folders and respond to enquiries from legal counsel as required.
  • Provide support for Discipline and Fitness to Practise Committee meetings and training sessions when required, including minute taking.
  • Liaise with Registrar’s Office on signing of Notices of Hearings, circulate notices to internal staff and legal counsel and scan and link notices and related documents updating electronic tracking system.
  • Support and clerk the administration of hearings and pre-hearings, including preparing hearing and panel rooms prior to hearings, hearing folders for panel members, preparation of exhibit logs, panel attendance and related forms and posting of agendas.
  • Advise reception of hearing attendees prior to the hearing.
  • Coordinate the issuing of witness summonses and provide them general information.
  • Arrange travel and hotel accommodation for witnesses and/or staff, and assist witnesses and/or staff with expense claims.
  • Maintain and update hearings procedural checklists.
  • Distribute decisions to legal counsel, employers, complainants and internal staff for publication and archiving.
  • Provide post-hearing follow-up - update hearings tracking data, assist with decision writing, profile decisions in tracking system, and advise department staff of disposition.
  • Prepare decision templates and other related hearing materials, and assist panels of the Discipline and Fitness to Practise Committees with the drafting of decisions in uncontested matters.
  • Verify content in decision summaries and redacted versions of decisions for consistency.
  • Arrange for redaction process, translation and mailings of Notices of Committee Action and other jurisdictional notifications and update correspondence tracking system.
  • Create and maintain statistics / monitoring tools in conjunction with current practices and I&H electronic system.
General administrative support to unit:
  • Ensure that work prepared in the Unit for the Discipline Committee, Fitness to Practise Committee and senior staff is of high quality and is processed according to format in a timely manner.
  • Receive visitors, deal with enquiries and arrange appointments for staff as required.
  • Act as a resource person, following up on queries from internal College staff on the status of various cases and relaying the required responses back to the appropriate individual.
  • Compose and type letters in reply to routine enquiries.
  • Log and distribute incoming mail for the unit as needed.
  • Process invoices from legal counsel and service providers as needed.
  • Perform other duties that may be assigned by the Manager of Tribunals.

Qualifications:

  • Demonstrated experience supporting the work of Committees and/or tribunals in a professional regulatory environment is an asset.
  • Strong oral and written communication skills are required.
  • Excellent interpersonal skills are required.
  • Bilingualism is an asset.
  • Membership in good standing of the Law Society of Upper Canada is an asset.

Administrative Assistant
Evaluation Services Unit, Membership Services Department

Fulltime Limited term contract appointment– up to 1 year

Category 13 - Salary Range $46,430 - $63,021

A proven professional with excellent administrative skills, you will provide a wide range of administrative, secretarial and clerical services for a high activity department. An ability to contribute positively to a fast-paced team, solid knowledge of Microsoft Office applications including Word, Excel, PowerPoint and Access, advanced keyboarding speed and accuracy, experience with statistical reporting and familiarity with modern database environments are assets for this position. Bilingualism is an asset for this position.

Primary Duties:

  • Receive visitors, deal with enquiries and arrange appointments for the Manager and other staff as required.
  • Answer telephone calls for the Unit, obtain information from callers where required, respond to routine enquiries and refer calls to the appropriate staff member when necessary.
  • Act as a resource person, follow up on queries from internal College staff on the status of various projects and relay the required responses back to the appropriate individual.
  • Log, distribute and track incoming mail for the Evaluation Services Unit.
  • Compose and word process letters in reply to routine enquiries and process mail merges to support coordinated mailings.
  • Transcribe and format letters, memoranda, articles, reports, speeches, briefing notes and other materials ensuring accuracy and proper distribution.
  • Provide administrative support for the unit including co-ordinating documentation for staff attendance, vacations, performance reviews, budget material, and so forth.
  • Log, distribute and track denial packages and complete all associated administrative tasks
  • Ensure that the unit manager is updated on day-to-day activities within the unit.
  • Ensure that work prepared in the Unit for the Council or senior staff is of high quality and is processed according to format in a timely manner.
  • Organize and maintain filing systems for the unit.
  • Perform other duties that may be assigned by the Manager of Evaluation Services.
